The Remote Capture software module enhances the functionality of the DocuWare Integrated Document Management system. Remote Capture allows documents that are scanned in remote locations over a wide area network to be imported to a local network folder. The program will also store these files in a DocuWare file cabinet, if the store feature has been enabled and configured properly. Remote Capture can also be utilized to import documents in a Windows Explorer hierarchical folder structure and use the folder names as Metadata to be indexed and stored in a DocuWare file cabinet, if enabled.
Example: If the user stores documents in 3 folder levels then each folder may contain documents or folders. Users can drag or save documents to the folder structure during the day and they will be exported directly to DocuWare along with the Metadata created from the folder names. Each folder will be mapped to a field in a DocuWare file cabinet. By placing a document in the last folder all of the fields will be populated with the correct folder names along with the FILE name. For example, the company name is the first folder, the project name is the second folder, and the document type is the third folder. When a search is performed on the file cabinet, each of the fields will contain the Metadata that corresponds to the name of the folders at the file level. In this way, users can use the same criteria to look for documents in DocuWare as they used to look for documents in the folders.
